2024 Picked and Paid Policy Update

  1. Thank you for your support of Willowsford Farm. Your participation in our CSA programs, events, volunteering and visiting the Farm Stand helps us to become the Agrihood we strive to be. To increase transparency, we’ve been open about our staff capacity and the operational benefits that our volunteers bring to the table. To streamline the process for our staff and CSA hosting volunteers, we are updating our CSA fulfillment policy for the 2023 Winter season and for our 2024 programs.

  2. Beginning Winter 2023, we will be implementing a “Picked and Paid” policy for CSA subscriptions and Custom orders. To provide a brief refresher for our CSA ordering cycle:

    ·        Ordering open from Thursday to Sunday (Wednesday-Sunday for Winter)

    ·        Orders collated and finalized on Sunday

    ·        Monday – Wednesday, adjustments on a case by case basis

    ·        Orders finalized Wednesday – all order adjustments cutoff

    ·        Orders Packed on Thursday

    ·        Regular fulfillment Thursday through Saturday

    ·        Alternate pickup Sunday – Tuesday: alternate pickup requests must be schedule through farm@willowsfordfarm.com by Tuesday at 12pm.

    ·        All unclaimed orders donated on Wednesday to Dulles South Food Pantry.

  4. Moving forward, any travel adjustments or pickup/delivery cancellations must be scheduled through the farm@willowsfordfarm.com email prior to the Sunday before the scheduled fulfillment. For example, an adjustment for a fulfillment on Thursday, October 5th must be scheduled by Sunday, October 1st. We’ve provided flexibility for fulfillment adjustments when possible, and we will continue to do so on a case-by-case basis. An adjustment request submitted on or after Thursday of the fulfillment cycle cannot be accommodated and if you or a friend/neighbor are unable to schedule an alternate pickup time for your order by Tuesday, it will be donated to Dulles South Food Pantry. We are not able to issue refunds or reschedules for missed pickups or delivery cancellations and our pickup sites will be stocked to order. Flower Share and Flower a la carte orders cannot be adjusted after Sunday at 12pm when we place our order with Bee’s Wing Farm. During our harvest and pack cycle all our produce is picked, eggs are collected, and boxes are packed to order. These policy updates will help us to continue to reduce packing and production waste and efficiently use staff labor time.

  5. To provide additional clarification, the following policies for delivery and pickup sites will go into effect:

    ·        CSA Hosts will only have Pickup Report orders in stock. We do not carry additional Farmer’s Choice boxes or eggs, unless they are stocked in the refrigerator for sale.

    ·        If you arrive for pickup and your name is not listed on the Pickup Report, you must reach out to farm@willowsfordfarm.com to report an issue so our staff can investigate. We will be providing a printed list with the A/B groups for our volunteers to cross-reference.

    ·        A friend, family member or neighbor can pick up your share for you, they just need to provide your name at pickup.

    ·        You can have your delivery order dropped off at a friend, family member or neighbors house instead, as long as the adjustment is scheduled before Thursday of the fulfillment cycle and the address is within the 20148 and 20105 zip codes.

  6. We will provide a printed copy of this policy at our pickup sites for review and our staff and volunteers will be available to answer any questions you may have.
